Part of Balfour Beatty - the multi-billion pound international engineering, construction and services group - Balfour Beatty WorkPlace work with their clients in a collaborative way to help them find the best solutions and make distinctive, lasting and substantial improvements to the performance of their organisations.

Event Connections worked with the Balfour Beatty WorkPlace Communications Team delivering pre-event delegate management for around 350 managers and senior staff attending their WorkPlace conference.

Balfour Beatty WorkPlace needed to get invitations into the hands (or inboxes) of their key staff from all parts of their hugely diverse company.  They also needed to collect essential information such as contact details and accommodation requirements.  Hotel bookings were handled by an external agency meaning strong communication was required between all parties.

We provided a brand-matched online booking system, bespoke pre-event communications, full delegate support and regular reports to the client who managed their own on-site check-in.

By issuing brand-matched HTML email invitations containing a unique link delegates could register online quickly. Any delegate with a question or preferring to book offline could call our dedicated phone line.

We were able to ensure that the booking system only showed availability in hotels that had rooms available. This minimised the number of hotel changes and ensured colleagues could book into the same hotel.

We provided regular reports to ensure that everyone was working from the latest information and took the booking system offline just prior to the conference. The data was then passed to the Balfour Beatty Workplace team so they could produce their own badges. Our team continued to take calls and emails after this date and liaised with the organisers, as necessary, to ensure any changes were picked up right through the conference.
