For the fifth year running Event Connections were invited to work with Hedgefund Intelligence (HFI) to supply registration and badging services to their events. In October we are with them at the British Museum for InvestHedge. January for the Hedgefund Awards dinner in Park Lane, and during May we are at EuroHedge in Paris.

HFI know that for high calibre, high ticket-price events, accurate and efficient registration is paramount. On the one hand, delegates who have paid a high price to attend rightly expect to be greeted and admitted promptly and politely, without error, fuss or delay. At the same time, it's important to HFI and for the validity of their event that people don't get in unless they are absolutely supposed to be there.

HFI handle their own registration pre-event providing us with a database of expected delegates.  As with all events of this calibre, the delegate list is in a constant state of change so we work closely with the HFI team in the last hours going into the event, and then throughout the event itself to ensure that our registration list is entirely up to date.

Our staff greet arriving delegates at the registration desks and promptly locate their details on the system, at the same time validating their identity. This produces their badge within a matter of seconds.

Any name changes and new additions can be handled with ease but at these events a strict approval process for such changes is in place. For this purpose we setup a troubleshooting desk where HFI staff sit with one of our project managers. Once new delegates have been approved, they are badged and immediately admitted to the event, without being referred back to the original check-in desks.

Speakers and special guests receive specific instructions and welcome instructions on arrival.  This is achieved via pop up prompts which appear on the screen as they are checked-in. They can then be directed to the right location for any meetings they might have.

HFI benefit from having constant real time access to information on the numbers of people through the door, and specifically which VIPs and speakers have arrived and at which time.

At the end of the event we provide a full report showing a breakdown of who arrived and when. This includes any changes that were made to the spelling of the delegates name or company.

At both the British Museum and Paris events we also provide a business centre for the conference. This consisted of PCs networked to provide internet connections, colour laser printing facilities for conference delegates and charging facilities for mobiles and tablets. Our technical system manager is onsite throughout the event and able to offer full onsite support to this facility.  This gives confidence to both HFI team and delegates who rely on the business centre throughout the event.
