Badge scanning can be a great addition to any event. It’s useful for both organisers and exhibitors alike and can be used in a multitude of different ways, depending on what you need the final data for.

For exhibitors, badge scanning can be a great way to track and engage with leads throughout the event, and after the event is finished, an encrypted report summarising your leads can be at your disposal.

For event organisers, badge scanning allows you to understand where your attendees were throughout the day. For example, badge scanners for conferences can be used for session, roundtable and workshop tracking, so you’ll know who was where, when, and for how long.

 

Session Tracking - Event Tech and Badge Design

If you choose to include some kind of session scanning at your event, we can design your event badge to include a unique barcode. Each barcode is unique to each attendee, so scans will show up as being attached to that particular person.

To capture the data, exhibitors or staff can be given a small handheld mini barcode scanner that they can keep with them throughout the event and return when the event closes. When attendees require scanning, simply point the scanner at that person’s badge and scan the barcode.

Each mini badge scanner will retain the scans until it’s returned to us, where we’ll sync it with our system and generate an encrypted report containing all the information you need.

Session Tracking: Case Study

At a recent event, a client wanted badge scanners for their exhibitors so that they could capture leads throughout the day. They also wanted staff to scan attendees into the variety of workshops they had running throughout the event. The reason for this was that the attendees had pre-selected their sessions, so they needed to have accurate attendance statistics for each session.

We provided a team of staff with scanners and stationed them on each of the workshop room doors. They successfully scanned all attendees into the 7 sessions in each room throughout the day, and scanned a “session break” badge in-between sessions, so that the report would reflect the end of a session and start of a new one.

Post-event, we uploaded the scan data and generated a report for each room. These were then sent to the event organisers, allowing them access to a detailed breakdown of who attended each session, at what time, and for how long. Similarly for the exhibitors, a detailed report was sent containing details of their leads.
