What is an Event Registration Microsite?

A microsite, sometimes called a mini-site, is a specific site focused on a task that exists outside of a primary company web page. Microsites continue the company’s seamless branding, but shrink down the site content for one sole purpose.

When it comes to pre-event registration, we work with clients to create a separate microsite that can be used during the event registration process. This microsite is fully designed in-keeping with the bespoke branding of that specific company. Whatsmore, a microsite can be fully customisable to contain whatever you need to have on it and whichever data fields you need to know about your attendees.

An event microsite can also take payments f0r various different ticket types, all of which can be monitored by our delegate services team, who are busy behind the scenes tidying the registrations that come in. Even though there are many free online portals available, they don’t often include all the features that a bespoke microsite does, such as allowing you to create your own account, manage your profile information and view your payment history.

Using your Event Registration Microsite: 3 Simple Steps

  • Prior to the event, we’ll work with you to understand exactly what you want to include on your registration microsite. This can be anything from basic information, to detailed information, such as accommodation choices and information about professional responsibilities.

    We can also include extra information like sponsor details, agendas and session choices.

    We want to create a site that is easy to navigate and has a clean look and feel.

  • Attendees can be sent a URL which will take them to the registration microsite. In most cases, they will be asked to create a login which will allow them to edit their details at a later stage if they need to.

    Guests can enter any crucial information, as well as make session choices and pay any fees that they need to. They will also receive a confirmation email confirming their booking, and we can send them any QR codes if needed at a later time.

  • Behind the scenes, there will be a team of white label delegate managers on hand to monitor the bookings as they come in.

    We’ll be on the look out for everything from spelling mistakes, incorrect data, missing payments and any anomaly that may come.

    Alongside our microsites, we also offer a dedicated phone line and email service to monitor any enquiries about bookings or payments. We can also monitor any finances that come in and issue invoices where needed.

We sync the data that we’ve received from the microsite with our on-site badge printers, all on a GDPR safe closed circuit which is just for that event. We offer multiple different check in and badging types depending on what you would prefer for your event.

Let’s say a particular client wanted to use handheld QR scanners as their check-in type. Prior to the event, we would send a bulk QR mailing out to everyone who registered on the microsite, On the day, attendees simply need to show a team of staff this QR code, where it can be scanned by one of our handheld scanners. Within 5 seconds, a personalised badge containing their details will print, and once this is done, they are checked in and free to enjoy the event.

Event microsites are also an effective way to share information about upcoming events, promotions, and other important news. They provide a convenient place for people to sign up for email updates and receive promotional materials in advance.
