Using The Event Scan App

Event Scan is our in-house lead retrieval app, designed for exhibitors to use at networking events. Event Scan captures GDPR-safe data. When delegates register, we safely store their agreed data in our system. This data is then translated into a barcode or QR code, which displays on their delegate badge when they attend the event. When an exhibitor scans a badge using the Event Scan app, they capture this person as a potential lead.

 

How do I access Event Scan?

If your event is using Event Scan or other lead retrieval options available from Event Connections, the organisers will send either your or the primary app user a link to their exhibitor lead retrieval portal. This is where you can purchase app licenses or hire out our handheld mini scanners. Once you’ve purchased an app license, you’ll be emailed a link with instructions on how to access our web portal - take a look below:

Log into the Web Portal

You’ll be emailed a link which guides you to the web portal for Event Scan - this email will also include your login details, which you can change at any time. After you log in, you can see your event as well as some key areas such as setting questions (see the bottom of this page) and downloading your app.

Download The App

The Event Scan app is compatible with Android and Apple devices. Simply head over to your app store and download Event Scan app on your device. You can log in using the same details that give you access to the web portal.

Scan a Test QR Code

To prep for using Event Scan on-site, you’ll be able to scan a test QR code which shows on the “your questions” section of your web portal. Scan this code using the Event Scan app on your device. This will show you a test lead, as well as some example data, so you can get a feel for how your leads will appear on-site.

Follow Up on Your Leads

Event Scan will collate all your leads into one, so you can export and download the information you’ve gathered throughout the event. What you do next is up to you! Follow, engage and contact as required. For GDPR safety purposes, Event Scan will hold your leads for 2 weeks after the event - plenty of time to gather what you need.


Extra Information

Setting Questions on Event Scan

You may want to know certain pieces of specific information about your leads. This can be anything, such as areas of business or contact preferences.

Event Scan allows you to capture this extra information by setting asking “questions” - extra data fields where you can set your own unique questions to ask your leads.

Set Your Questions

On the “your questions” page, set your questions. You can choose if you would like this be a text box, a drop down list or many others.

We’ve used the example of fruit - the question is “what is this persons preferred fruit?” The radial answer-options are set as apples or oranges.

Testing Your Questions

Return to your questions page. Using the Event Scan app on your device scan the QR code. You will see the lead’s data and your set questions, where you can add custom responses, information and more.
